This article explains when notifications are triggered and who receives them.
Note that Kintone has two types of notifications: "To me" and "All" notifications. The differences between the two are described on the following page.
Differences between "To me" and "All" notifications

Notifications are sent in the following cases.

When a record is added, notifications are sent to the following users.

• "All" notifications are sent to:
  • Users whose Record is added option is enabled in the General notifications settings and who satisfy either of the following conditions:
    • The user is specified as a notification recipient in the General notifications settings
    • The user belongs to a department or group specified as a notification recipient in the [General notifications] settings
• "To me" notifications are sent to:
  • Users who are specified in any of the following fields with the Record is added option enabled in the General notifications settings:
    • User selection
    • Department selection
    • Group selection

When a record is updated, notifications are sent to the following users.

• "All" notifications are sent to:
  • Users whose Record is edited option is enabled in the General notifications settings and who satisfy either of the following conditions:
    • The user is specified as a notification recipient in the General notifications settings
    • The user belongs to the department or group specified as a notification recipient in the General notifications settings
• "To me" notifications are sent to:
  • Users who are specified in any of the following fields with the Record is edited option enabled in the General notifications settings:
    • Created by
    • Assignee
      This field includes the users who are assigned under Current assignees when the record is edited.
      Note that users who have already performed an action will not receive notifications even if they are assigned under Current assignees.
    • User selection
    • Department selection
    • Group selection

The users who receive notifications related to the bulk deletion of records are as follows.

• When records are bulk deleted:
  • A "To me" notification is sent to the user who bulk deleted the records.
• When the bulk deletion of records fails:
  • A "To me" notification is sent to the user who bulk deleted the records.
• When the bulk deletion of records is suspended:
  • A "To me" notification is sent to the user who bulk deleted the records.

Notifications are sent in the following cases.

When someone comments on a record, notifications are sent to the following users.

• "All" notifications are sent to:
  • Users whose Comment is posted option is enabled in the General notifications settings and who satisfy either of the following conditions:
    • The user is specified as a notification recipient in the General notifications settings
    • The user belongs to the department or group specified as a notification recipient in the General notifications settings
    • Users who have posted comments on the record
      These users will receive notifications only if the Send new comment notifications to all commenters option is selected in the General notifications settings.
• "To me" notifications are sent to:
  • Users mentioned in the comment
  • Users who are specified in any of the following fields with Comment is posted enabled in the General notifications settings:
    • Created by
    • Updated by
    • Assignee
      This field includes the users who are assigned under Current assignees when the record comment is posted.
      Note that users who have already performed an action will not receive notifications even if they are assigned under Current assignees.
    • User selection fields
    • Department selection fields
    • Group selection fields

When someone clicks Like on a record comment:

• An "All" notification is sent to the user who posted the comment.

Notifications are sent for the following process management actions.

When a record's assignees are changed, notifications are sent to the following users.

• "To me" notifications are sent to:
  • Users specified as Assignee

When a record's status is changed, notifications are sent to the following users.

• "All" notifications are sent to:
  • Users whose Status is changed option is enabled in the General notifications settings and who satisfy either of the following conditions:
    • The user is specified as a notification recipient in the General notifications settings
    • The user belongs to the department or group specified as a notification recipient in the General notifications settings
• "To me" notifications are sent to:
  • Users who are specified in any of the following fields with Status is changed enabled in the General notifications settings:
    • Created by
    • Assignee
      This field includes the users who are assigned under Current assignees after the status is changed.
    • User selection
    • Department selection
    • Group selection

Notifications are sent for the following actions.

• When record data is exported to a file:
  • A "To me" notification is sent to the user who exported the record data.
• When exporting record data to a file fails:
  • A "To me" notification is sent to the user who exported the record data.
• When exporting record data to a file is canceled:
  • A "To me" notification is sent to the user who canceled the record data export.

• When records are added or updated via file import:
  • "All" notifications are sent to:
    • Users whose File imported option is enabled in the General notifications settings and who satisfy either of the following conditions:
      • The user is specified as a notification recipient in the General notifications settings
      • The user belongs to the department or group specified as a notification recipient in the General notifications settings
  • A "To me" notification is sent to the user who imported the file.
• When importing record data from a file fails:
  • A "To me" notification is sent to the user who tried to import the record data.
• When importing record data from a file is canceled:
  • A "To me" notification is sent to the user who canceled the record data import.

Notifications are sent for the following.

• When a periodic report is generated:
  • An "All" notification is sent to the user who set the periodic report.
• When a periodic report fails to be generated:
  • "All" notifications are sent to app administrators.

• When a pivot table is exported to a file:
  • A "To me" notification is sent to the user who exported the pivot table.
• When exporting a pivot table to a file fails:
  • A "To me" notification is sent to the user who exported the pivot table.

• When aggregated data is exported:
  • A "To me" notification is sent to the user who exported the aggregated data.
• When exporting aggregated data fails:
  • A "To me" notification is sent to the user who exported the aggregated data.

Notifications with conditions are sent as follows.

These notifications are sent when records are added or updated, or when record statuses change, provided the specified conditions are met at those times. They are not sent when records are added or updated by importing CSV files.

• "To me" notifications are sent to users specified as recipients in the Per record notifications settings.

Records are checked every 10 minutes, and reminders are sent if any meet the specified conditions. The sender is always "Administrator".

• "To me" notifications are sent to users specified in the Reminder notifications settings.

Notifications are sent for the following space-related actions.

• When a space is created:
  • "To me" notifications are sent to the members of the space.
• When the body text of a space is edited:
  • "All" notifications are sent to the members of the space.
  • "To me" notifications are sent to users mentioned in the body text.
• When a space is changed to public or private:
  • "All" notifications are sent to the members of the space.
• When a guest joins or leaves a space:
  • "All" notifications are sent to the members of the space.

Notifications are sent for the following thread-related actions.

• When a thread is created:
  • "All" notifications are sent to the members of the space.
  • "To me" notifications are sent to users mentioned in the body text.
    Note that if the Send "To me" notification about the thread creation to space members checkbox is selected when the thread is created, "To me" notifications will also be sent to the members of the space.
• When the body text of a thread is edited:
  • "All" notifications are sent to users following the thread.
  • "To me" notifications are sent to users mentioned in the body text.
• When a comment is posted on a thread:
  • "All" notifications are sent to users following the thread.
  • "To me" notifications are sent to users mentioned in the comment.
• When Like is clicked on a thread comment:
  • An "All" notification is sent to the user who posted the comment.

Notifications are sent for the following People-related actions.

• When a user posts a comment on their own People page:
  • "All" notifications are sent to the user's followers.
  • "To me" notifications are sent to users mentioned in the comment.
• When a user posts a comment on a different user's People page:
  • "All" notifications are sent to users following the owner of the People page.
  • "To me" notifications are sent to:
    • The owner of the People page
    • Users mentioned in the comment
• When Like is clicked on a People page comment:
  • An "All" notification is sent to the user who posted the comment.

Notifications are sent for the following message-related actions.

• When a message is sent:
  • A "To me" notification is sent to the message recipient.
    Note that notifications will not be sent to any users other than the two exchanging the message, even if they are mentioned in the message.
• When Like is clicked on a message:
  • An "All" notification is sent to the user who sent the message.
